Post: Office Clerk
Summary:
Generally responsible for performing clerical and administrative functions.
Primary responsibilities
· Preparing, compiling,recording, filing and/or coordinating delivery of letters and correspondences to clients and vendors;
· Preparing and processing documents, such as business or government forms;
· Liaising with different government institutions and authorities such as BRELA, RITA, TRA, NGOs Office and various other registries throughout Tanzania to process filings and obtain various licences, permits and certificates;
· Maintaining and updating filing, mailing, and database systems;
· Reviewing files, records, sort emails and other documents to obtain information required by the office to respond to different clients’ requests;
· Operating office machines, such as photocopiers and scanners, facsimile machines, and personal computers (if and when required);
· Delivering messages and run errands;
· Helping to organize office activities;
· Receiving and directing visitors;
· Assessing the urgency of situations and determining appropriate actions, monitoring status of pending item, providing follow up and keeping management informed by communicating a wide variety of information; and,
· Any other task incidental to the above as he/she may be directedby the management.
The position requires a candidate with experience, excellent communication and interpersonal skills. The candidate should be fluent in both English and Kiswahili languages (written and spoken).
Qualifications:
Diploma in Business Administration, Secretarial and/or Office management with not less than 2 years of experience in Administrative or similar position.
