MAILROOM ASSISTANT

The US Embassy is seeking an individual for the position of Mailroom Assistant in Information Program Center. 

BASIC FUNCTION OF POSITION 

As customer service representative this position performs all the mail processing functions (intake, dispatch, and delivery) of the following mail types: Diplomatic Post Office, Unclassified Pouch, Express Mail such as FEDEX and DHL, Local Post Office, and Internal Mail. Other basic job functions include Telephone Switchboard Operator, and Reproduction/Facsimile Customer Service Agent.
MAJOR DUTIES AND RESPONSIBILITIES:

Assist in the processing of inbound and outbound mail. This requires using systems such as the Military Postal Systems (MPS - AMPS) and the Department of States' Integrated Logistics Management System (ILMS - DPM). Must become familiar with DoS FAM/FAH and US Post Office's DDM regarding mailability of items. Position will perform the function of a temporary cashier for processing local customs fees. Position will also be expected from time to time drive to the Airport for picking up and clearing mail bound to the Embassy.

As Telephone Switch Operator - operates the Nortel Meridian telephone console. Receives and process, incoming calls to the individual or office. Places long distant calls. Maintains internal telephone list for Embassy, USAID, Peace Corps, CDC, DoD and others offices under COM authority.

Regarding reproduction - receives reproduction jobs via eServices and is expected to copy, correlate, and bind the various media requests according to customer's specifications.

Working with facsimile- prepares logs and transmits/receives all incoming/outgoing facsimile messages and route them to Addressees.

Does other jobs as requested and in the absence of the Mailroom supervisor overseas the day to day operation of the mailroom.

QUALIFICATIONS REQUIRED

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.
  1. Education: 
    Completion of secondary school (form IV) is required.
  2. Prior Work Experience: 
    Minimum of 2 years of experience in the handling of mails/telephone/reproduction or other functions in related field.
  3. Language Proficiency:
    Level III English (good working knowledge) and level IV (fluent) in Kiswahili is required..
  4. Knowledge: 
    Basic computer knowledge is required.
  5. Skills and Abilities: Must be able to operate fax equipment and copy machines. Must be able to obtain a Class "D" within the first year of employment. Great Customer Service skills needed.
SELECTION PROCESS

When fully qualified, US Citizen Eligible Family Members (USEFMs) and US Veterans are given preference. Therefore, it is essential that the candidate specifically address the required qualifications above in the application.
